Practices with prescribing enabled can now track medication side effects over time, promote them to the safety list deliberately, and document risk conversations right on the prescription.

New

Record side effects without stopping the medication. A new "Report side effect" button on
each prescription — and on supplements — captures what the client reported (from a
psychiatry-focused list), how much it interferes with daily life, roughly when it started, and
the dose at the time. Reports appear as markers on the medication trial timeline and in the
prior-authorization trial summary, so "stopped due to side effects" is no longer the only
record you have. Recording a side effect never changes the allergy list by itself, and
reports can be edited or removed afterward — corrections are status changes, never
deletions, so the record stays complete.

A full med check without leaving the note. The note's Medications button opens a
drawer with two views: New prescription, and Current meds — the client's active
medications and supplements, each carrying the med-check actions inline: renew, adjust,
record a side effect, or stop. Side effects and stops drop a contemporaneous line into
the note itself (stops include the reason and your retrial advice), and prescriptions
keep appending the exact prescription line — so the visit note documents the whole med
check as it happens.

A deliberate path to the safety list. When a reported side effect deserves a permanent
place on the client's allergy/intolerance list, a "Promote to safety list" action shows you
exactly what will be recorded before you confirm. Entries can later be marked tolerated or
entered in error (with a documented reason) — they leave the banner but are never deleted, so
the record stays complete.

Rechallenge advice on stopped medications. When stopping a medication for side effects,
you can note whether the effect was dose-related and whether a retrial would be reasonable
(at a lower dose, with support, or best avoided). If you ever prescribe that medication
again, the warning shows your prior note — guidance from your past self, right when it
matters.

"Risks discussed" on the prescription. A checkbox group at prescribing records which
risks you discussed with the client (movement symptoms, metabolic effects, sedation, sexual
side effects, discontinuation symptoms, or your own wording). It is stored on the
prescription itself and echoed in the visit note's "Medications prescribed this visit" line —
contemporaneous documentation with one click.

Improved

Your website's menu can now link to your own sections. Each content block in the website
builder has a "Show in top menu" option — turn it on and that section appears in your site's
top navigation (with a short label of your choosing, like "Services" or "FAQ"), ahead of the
built-in Locations and Contact links. Nothing changes unless you opt a section in.

Client Portal moved front and center on practice websites. The hero section now shows a
Client Portal button alongside Request an Appointment (portal first), and the portal button
no longer crowds the site header. Republish your site from Settings → Website to pick up the
new layout.

You now hear about it when an existing client uses your public booking form. For privacy,
the public "request an appointment" form never tells the person filling it out whether an
email address already belongs to a client of your practice — it quietly emails that client a
link to sign in to their portal instead. Now your practice gets an email too, naming the
client and what they tried to book, so you can reach out and make sure the appointment
actually gets scheduled. The booking form also says much more clearly — up front, at the
contact step, and on the confirmation screen — that existing clients should sign in to the
portal to request appointments.

Lab trends show the dose at each draw. The lab trend chart now carries the
"medication dose at draw" recorded with each result — hover any point to see it, and when
the regimen changed between draws, an annotation under the chart lists what changed and
when. A level that moved with a dose change reads differently from one that moved
without.

Welcome emails now match the new team member's role. When you invite a biller,
scheduler, or practice manager, their welcome email orients them to the parts of the app
they'll actually use — billing, the practice calendar, or team settings — instead of
clinician instructions about writing session notes. Combined roles get a bullet for each.

Fixed

Billers, schedulers, and practice managers are no longer asked for clinical
credentials. Team members without a clinician role used to see a "Complete Profile"
prompt in the header asking for an NPI, license, and specialty code they'll never have.
That prompt now appears only for clinicians; staff profiles show their actual role.

Uploading .m4a session recordings works again. The audio upload page rejected .m4a
files (the format iPhones and many recorder apps produce) because of how browsers label
that file type. All common audio formats — m4a, mp3, wav, webm, ogg — now upload
reliably, even when the browser doesn't report a file type at all.

The practice website builder gains team pages, service cards, video, and your own brand colors.

New

New website sections for group practices and richer pages: the website editor gains
Team (your practice roster with photos, credentials, and pronouns — prefilled from your
Practice Harbor team with one click), Card grids (service cards or numbered
"how we work" lists), and Link lists (recommended books and resources). The hero
section can now place your photo beside the text instead of behind it, an optional
announcement bar (many practices use it for crisis-line info) sits above the header,
and you can set custom brand colors with a color picker to match your existing brand.

Video on your website: a new Video section embeds a YouTube or Vimeo link — paste a
normal watch link and it becomes a privacy-friendly player (no tracking cookies). A short
welcome video is one of the best ways to help new clients feel at ease before reaching out.

Share documents with many clients at once. A new "Share Documents" button on the
Patients page (and a share action on each document in Settings → Shareable Documents) lets you
send consent forms or questionnaires to any set of clients — or all of them — in one step:
pick recipients, pick documents, customize the email, review, send. Perfect for an updated
policy or fee document that everyone needs to re-sign at the start of the year. Guardians
are offered automatically for minor clients, and each client's signed copy always preserves
the exact version they signed.

Five new scored measures. The measures library adds the C-SSRS Screener
(Columbia suicide risk triage — the standard follow-up when a PHQ-9 flags item 9), the
full 10-item AUDIT (the next step after a positive AUDIT-C), ARM-5 (a 1-minute
therapeutic-alliance check-in for session-to-session feedback), and two for younger
clients: PHQ-A (the PHQ-9 modified for teens) and PSC-17 (a parent-completed
screen for children). Each was built from its published source instrument, scores
automatically, and can be enabled under Settings → Shareable Documents.

Your client portal now greets clients with your practice name. The sign-in page, the
set-password page a new client lands on from their welcome email, and the password-reset
page all show your practice name above the form — a familiar first screen instead of a
generic heading.

See your availability hours right on the calendar. In the Week and Day views, hours
outside your working hours are now lightly shaded gray, so you can tell at a glance where
a new session fits — and what clients can request online. It's a visual guide only: you
can still schedule anytime, shaded or not. A new clock menu on the calendar lets you hide
the shading or jump straight to editing your hours (Settings → Online Booking).

Improved

Ask the AI about the whole chart, not just the last note. The question box in the
Last Note panel (on the recording, dictation, and typed-note pages) now answers from the
client's entire record — every session note, the medication history, assessment scores, and
lab results — so you can ask things like "when did we last talk about her sister?" or
"which medications has he already tried?" A new Ask AI button on the client chart opens
the same assistant in a side panel. Answers cite the session date they came from, and the
conversation is never saved — anything worth keeping, you copy into the record yourself.

Medication trial summary: choose which trials to share. The trial-summary view (used for
prior authorizations and step-therapy documentation) now has a checkbox on every trial, so a
prior auth for one medication class doesn't have to include unrelated trials in the copied
text or printout.

A Psychiatry SOAP note template. Practices with prescribing enabled get a new template in
the gallery built for medication-management visits: a mental status exam in the Objective
(drawn only from what the session shows), a diagnosis-oriented Assessment (working DSM-5
diagnosis, differential, and formulation), and a Plan that captures medication reasoning —
with the exact prescription record appended automatically when you prescribe from the note.

Record any labs — not just medication monitoring. A new "Record labs" button in the Labs
area lets you enter results from any outside report — a new client's baseline panel, screening
labs, anything faxed in — even when no medication is being monitored. The test catalog grows to
cover the common baseline panels (CBC, metabolic panel, lipids, thyroid, B12/folate, vitamin D,
prolactin, and more), each with reference ranges and the same typo-catching checks, and results
flow into the same lab flowsheet and trend charts.

Drug levels now record the dose at the time of the draw. When recording lab results, a
new "Medication dose at draw" field auto-fills from the prescriptions active on the collection
date (editable if the actual dose differed) and shows alongside the value in the lab
flowsheet — a level without its contemporaneous dose is only half the picture.

The client list is now called "Clients" everywhere. The sidebar and the list page
previously said "Patients" while the rest of the app said clients — same page, same
place, now one name.

A clearer website editor. The page sections list now mirrors your actual page from top
to bottom — the hero and highlights appear first, marked as pinned, with your rearrangeable
sections below. The hero's photo controls were also simplified: choose the layout first
(photo behind the text or beside it), and only the controls that apply to that layout are
shown.

Fixed

The website editor's preview now switches fonts immediately when you pick a different
font pack. Previously the preview could keep showing the old typography (your published
site was always correct — only the preview lagged).

Signed documents now show the exact statement your client agreed to. A signed Good
Faith Estimate shows its receipt acknowledgment and a signed treatment plan shows its
participation statement — previously the record view showed a generic "agree to the terms"
line for every document type. Treatment plan signatures also now display the typed name.

Video sessions: background blur turns on reliably from the pre-call check. If a client
switched blur on before joining, it could silently fail to apply while the toggle stayed
on; blur now applies as soon as the camera starts, and the toggle reflects what is actually
happening.

Tightened how files shared in secure-message conversations are scoped for family contacts,
so attachment visibility always matches the conversation's sharing settings.

The navigation menu now only shows pages your role can open. Team members without
billing access no longer see a Billing menu item that led to an "access denied" page —
and the Settings page now shows only the sections your role can actually open, too.

Profile setup for team members now ends with a "Getting around" step — short guides
for your first day (dashboard tour, first session, recording, notes) instead of a
single-step wizard that looked incomplete.

Team members with the Basic or Billing access level can now see their clients' shared
records properly. Uploaded files, assessment scores, and session records that another
clinician (or the client) added to a chart were previously invisible to these access
levels, and saving a session transcript could fail. Notes and intake responses are
unchanged — those always stay with the clinician who wrote or received them, and each
clinician still documents only for their own clients.

A small escape hatch that respects how you actually work.

New

Requested appointments show on your calendar before you approve them: when a client requests
a time from the portal, that request now appears right on your calendar with a dashed outline —
so you can see the tentative hold in context before deciding. Click it and Practice Harbor points
you to the Appointment Requests panel to approve or decline; once approved, it becomes a regular
appointment. Requests can't be dragged or edited until you approve them.

Client signatures on treatment plans: once you (and your supervisor, if applicable) have signed
a treatment plan, a Request client signature button shares a read-only copy to the client
portal, where your client — or their parent/guardian for minors — reviews it and signs
electronically with a typed name. The copy is frozen at the moment you share it, so later plan
edits never change what was signed. You'll see "Awaiting client" and then "Client signed" right on
the plan, the signature line appears alongside yours, and you get an email when it's signed.
Signing is always presented to clients as voluntary. Family charts and billing behavior are
unchanged — this also gives you clean documentation of the client's participation in treatment
planning, which several state Medicaid rules ask for.

Finish payer-enrollment tasks without leaving Practice Harbor: when a payer needs extra
information mid-enrollment (like a state Medicaid Provider ID), the enrollment's details now
show the task with a field to answer it directly — submit and the enrollment continues
automatically. Answers are remembered so you're never asked twice.

Type it your way, let AI structure it: the Type button on an appointment now opens a page
where you can pour out a stream-of-consciousness account of the session into a text box, pick a
note format, and hit Generate note — the AI organizes your words into the template's
sections, ready to review and sign. Prefer full control? "Start from a blank note instead" is
right there and works like before.

Text message appointment reminders: turn them on under Settings → Client Texts, choose how
far ahead to send, and clients who opt in (a checkbox on their intake form, or the Text reminders
toggle on their profile) get a text before each appointment. Messages contain only the date and
time — no practice name, no clinical details — and clients can reply STOP anytime.

Improved

Fix the transcript, not just the note: session transcripts on a note can now be edited —
click Edit on the Transcript panel to correct what the transcription heard (a misheard
medication name, a mangled family member's name), save, and regenerate the note from the
corrected transcript if you like. An Edited marker appears so a corrected transcript is
never mistaken for the verbatim recording, the original is always preserved in version
history, and transcripts lock along with the note once it's signed.

Sessions stay signed in through your workweek, not forever: for security, Practice Harbor
now signs you out after 72 hours without any activity — long enough that you'll never notice
it during normal use (an active recording or telehealth call never triggers it), short enough
that a laptop forgotten somewhere doesn't stay signed into client charts for weeks.

Type a note from anywhere you'd record one: appointments now offer Type alongside Record
and Dictate — open an appointment, click the keyboard icon, pick a format, and a structured note
opens in the full editor, linked to that session. The Dictation page gained a matching "Prefer to
type?" option (in the About panel) that carries over the client, template, and session date you
already picked. Handy when you're in a shared space, your headset is elsewhere, or you simply think
better through your fingers.

A tidier appointment panel: the appointment drawer is a little wider for individual sessions,
with tighter spacing, a clearer View note button once a session has a note, and a
frequency-ordered action row (Type, Record, Dictate). Uploading an audio file recorded outside
Practice Harbor now lives on the Live Session page ("Already have a recording?") — same
capability, better home.

Fixed

Uploading a file from a client's Files page (Actions → Upload file) now attaches the document
reliably — previously the file picker opened but the chosen file was silently never saved.

Document reminder emails now name each pending item — signed-consent and Good Faith Estimate
items previously appeared as just "Document", including in reminders sent to a parent or
guardian. One deliberate exception: treatment plans awaiting signature are described
generically ("a treatment plan for your review and signature") so that plan titles, which can
reference a diagnosis, never travel by email — the full title is always visible inside the
secure portal.

Downloading a CMS-1500 (when filing a claim externally) or an EOB PDF now saves the file
directly — previously the PDF opened in a new tab that some browsers silently blocked, so
clicking appeared to do nothing.

Email and phone notifications for new appointment requests now show the client's initials rather than
their full name — the details wait for you inside the app.

Deleted insurance payments no longer appear in the billing log or count toward your collected
totals — deleting a duplicate now truly removes it everywhere.

Correcting a client's name now updates it on their couple/family chart too (the chart
previously kept the original spelling).

A signed treatment plan's edit view is now clearly read-only — previously the fields looked
editable even though changes were never saved, and fields stay fully legible.

The new-client form now tells you which required field is blocking the Create button instead of
silently doing nothing.

Your built-in Sample Client can now rehearse real workflows end to end.

New

Write a note by hand, structured by your template: when you click Type on an appointment, there's now a Format picker — just like Dictate and Live Session have. Chart Note keeps the quick free-form box right there; choosing a template opens the full note editor with your template's sections ready to fill in. Templates are no longer only for AI-generated notes.

Send files in secure messages: you and your clients can now attach files to secure messages — a photo of an insurance card, a completed worksheet, a referral PDF. Click the paperclip in any message conversation (in your Messages inbox, or in the client portal for clients and their contacts). Every file a conversation exchanges is also saved to the client's Files tab automatically, labeled "Message Attachment" with who sent it, so nothing lives only in a chat thread. Portal uploads accept images and documents up to 25MB.

The Windows desktop app now keeps itself up to date: it quietly downloads updates in the background and applies them the next time you close the app — no reinstalling, no version checking. If an older copy ever falls behind, the app shows a banner with a one-click download of the latest installer.

An Exercises tab on client charts (beta): assign practice exercises to a client right from their chart. The workflow and client delivery are still being refined, so expect changes.

Ask a question, get an answer from the help center: a new "Ask a question" option in the account menu (top right) lets you ask in plain language — "how do I set up online booking?" — and get a step-by-step answer drawn from the help center, with links to the full articles. If the help center doesn't cover it yet, it says so and hands you off to Send feedback so a human can help.

See where new clients come from: online booking requests now remember how the client found you — the ad campaign, search click, or referring website that led them to your booking page (including the booking widget on your own website). Each request shows a "How they found you" line when you review it, and your new-client notification email includes the source. If you run Google or Meta ads with standard campaign links (UTM tags), attribution works automatically — nothing about your client's information is ever shared back to ad platforms.

Log clinical hours earned outside Practice Harbor: in Clinical Hours, Log Hours now includes a Direct option, so pre-licensed clinicians can record direct client contact from other settings (for example school or agency work) toward their licensure hours — pick the session type and note the setting. These sit alongside the direct hours already counted automatically from your completed appointments, and flow into your summary, weekly log, and PDF exports. (Hours earned elsewhere are verified by that setting's supervisor.)

Improved

Couple and family charts now show your sessions: the couple's chart has an Overview like an individual chart — each appointment appears as a card with its status, service code, and the session note nested underneath, with Type / Dictate / Live Session buttons right on the card. And notes you start from a couple's calendar appointment now land on the couple's chart (where couples notes belong), not on one partner's individual chart. On a partner's own chart, couple sessions link you straight to the couple's chart instead of offering to write an individual note against a couples session.

The couple chart's sidebar now shows billing at a glance: couple and family profiles gained the same sidebar cards individual charts have — insurance summary (the primary client's coverage, which is what gets billed for couples sessions), recent invoices, and superbills/statements — with links that keep you on the couple's own billing page.

Pick a template when typing a chart note: the "Add a note" box on client and couple charts now has the same Format picker as appointments — choose a template and a structured note opens in the full editor with your sections ready to fill in; free-form Chart Note works exactly as before. On couple and family charts, your "who attended" selection carries onto the note either way.

Couples and Family note templates can tell partners apart: the built-in Couples Therapy and Family Therapy templates (when newly added to your library) now write a separate "Progress" entry for each person present, and recordings of these sessions use speaker-separated transcription. Existing copies in your library are unchanged — you can turn this on per section in the template editor.

Invitation emails now come with role-specific getting-started guidance: when you add a team member, their welcome email now explains their first steps based on the role you gave them — supervisors get their two-minute setup (add your NPI and license so supervisees' billing documents stay compliant, and where notes arrive for review), clinicians get the calendar and client-chart basics.

Your workspace now lives at a dedicated secure address: on practiceharbor.com, signing in and everything you do while signed in now happens at secure.practiceharbor.com — the same separation banks use, keeping your workspace fully apart from our public website. Old links and bookmarks forward automatically, and links in emails now point there directly. You may be asked to sign in once after the change; nothing else about your account or data is different.

Screen sharing can now include sound: when sharing your screen in a telehealth session from Chrome or Edge, choosing a browser tab now offers a "Share tab audio" checkbox — so a video or audio exercise you play for your client is heard, not just seen.

The desktop app handles bad connections gracefully: opening the app now shows a Practice Harbor welcome screen while it loads, and if your internet is down you'll see a clear "Can't connect right now" message with a Retry button — it reconnects automatically as soon as your connection returns, instead of showing a technical browser error.

Comment read status now follows you across devices: the "unread comment" dot on supervision notes is now shared between your computers — reading a comment on one device clears it everywhere, instead of each browser tracking its own.

The tutorial session now becomes a real completed session: finishing the AI-scribe walkthrough marks the sample appointment completed with a billable charge — so superbills, statements, and receipts are all try-able on your Sample Client immediately afterward, without touching your metered sessions or your reports.

"Send an intake packet" on the Getting Started checklist is now one click: it asks for an email you can check (your own works), saves it on your Sample Client, and opens the intake picker — so you can see exactly what clients receive, in your own inbox.

The Sample Client's chart now prompts for an email when none is set — use a separate test address (not your own login email), and you can send intakes, superbills, and portal invites to the sample chart to see exactly what clients receive.

Adding a free consultation is now a one-click preset: when you add a service, tap the "free 15-minute consultation" preset to fill in a no-charge code, a $0 rate, and a 15-minute duration — the standard, insurance-safe way to offer a complimentary intro call. You can still adjust the duration, and no bill is ever created for a $0 service.

Supervisor details on billing documents: a new setting (Settings > Client billing documents) prints the supervising provider's name, license, and NPI on your billing paperwork for pre-licensed clinicians — now covering superbills, invoices, and statements — so a supervised clinician's documents are consistent, and states that require a "supervised by" line on billing documents are covered. The line follows the clinician's assigned supervisor automatically, and appears only when you turn the setting on. Printed CMS-1500 forms also show the supervising provider's NPI in Box 17b, matching what's already sent on electronic claims.

Fixed

Therapy-group billing now reads per member everywhere: a therapy group's profile no longer shows a single member's balance as if it were the group's. Group members are billed individually, so the profile now points you to each session's attendance panel — where per-member fees, invoicing, and payment collection live — and to each member's own chart.

Schedule Appointment now works from a therapy group's profile: the button opens the scheduler with the group pre-selected, and booked sessions include every member so attendance and per-member billing work as expected.

AI notes from telehealth sessions now generate reliably: turning on session notes inside a Practice Harbor Video call uploaded your audio but could silently fail to hand it off for transcription, leaving the note stuck at "Uploading". Session recordings now travel the same hardened upload pipeline as the recording page — audio uploads progressively during the call, short sessions are handled first-class, and anything that does get stuck is closed out with a clear message within the hour instead of spinning forever.

Ending a video call no longer shows a "Session Error": hanging up a telehealth session could paint an error screen over a perfectly clean goodbye (for you and for clients in the portal). Ending the call now just ends the call.

Interrupted session recordings are easier to find and rescue: if a recording is cut off before it finishes uploading — a crash, a closed laptop — the saved audio now appears in your left menu at the top of Recent, labeled "Unprocessed audio" under the client's name, with one click to turn it into a note. Previously this offer only appeared on the recording page. Recordings made during video calls are now protected the same way, saved encrypted on your device every 15 seconds.

Running late? Your appointment stays visible in the client portal: appointments used to disappear from the portal's Upcoming list 30 minutes after their scheduled end — so a client running late saw an empty list. Appointments now stay listed for 12 hours after they end; once a session can no longer be joined, the card says so plainly instead of hiding.

The whole app is faster: we found and fixed a build configuration issue that had been shipping a heavier, slower version of the app than intended. Everything — page loads, the calendar, video sessions — now runs on the fully optimized build. You don't need to do anything; it applies on your next visit.

Your camera turns off the moment a video session ends: the browser's recording indicator (the red dot on the tab) could stay lit after ending a telehealth session or backing out of the pre-call screen — the camera is now released immediately in every case, in both the practice app and the client portal.

Rejoin a video session for up to 4 hours after its scheduled end: sessions that run long, reconnecting after a dropped connection, or a "let's meet an hour later, same link" reschedule all work now — for you and for clients. Completed appointments also keep their Join Session, View Forms, and Add to Calendar buttons in the client portal.

Note-processing status messages now behave: the "Processing Notes" indicator dismisses when you leave the video session page (the note keeps generating in the background and announces itself when ready), and completion notifications arrive promptly instead of waiting for your next page visit.

Therapy groups went from missing to fully supported — schedule, notes, billing, telehealth, and claims — in one program.

New

Good Faith Estimates: give uninsured and self-pay clients the written cost estimate the No Surprises Act requires — from the + New menu on the client's profile, prefilled with your details and the client's own rate (sliding-scale rates land automatically, with a Notes field to record how the fee was agreed). Estimates share to the portal for download, printing, and an optional signature, the required federal disclaimer language is included automatically, and your published practice website now carries the required No Surprises Act notice. How it works.

Group therapy, end to end: create roster-based therapy groups, schedule group sessions with per-member attendance, write per-member session notes, bill attendees individually (self-pay or insurance with the correct group CPT codes), and run group telehealth — every member joins the same video session through their own portal.

Client self-cancellation: clients can cancel booked appointments from the portal within your practice's cancellation window — a new setting controls how close to the session self-cancel is allowed.

Concierge migration: switching from another EHR? A new card in EHR Import lets you hand us your exports and we'll do the migration.

Improved

Your locations now always appear on your public booking page — clients requesting an appointment pick from your locations by name (including telehealth). The per-location "Hide Address" setting now does exactly what it says: it hides the street address from the public while keeping the location listed, so home-office practices can offer in-person booking without publishing where home is. Addresses always remain visible to signed-in clients.

Claim-filing enrollment is now automatic where payers require it: some payers (all Medicare Part B jurisdictions, certain BCBS plans) won't accept electronic claims until the practice is enrolled for claim submission — separate from the ERA enrollment we already handle. Enrolling with such a payer now files both requests at once, and the payer list shows a "Claims" status badge so you can see when claim filing is cleared.

Telehealth billing defaults tuned for how therapy actually happens: audio-only phone sessions now default to modifier 93 (audio-only telemedicine — modifier 95 claims video happened; FQ is also available for payers that want it), and telehealth locations plus built-in video sessions now default to place-of-service 10 (client at home — the typical case, reimbursed at the higher non-facility rate) instead of 02. Existing locations keep whatever you chose; 02 stays selectable for client-elsewhere sessions.

Telehealth clients get their join link right in the email: appointment confirmation and reminder emails now include a "Join video session" button — the meeting link saved on your Doxy.me/Zoom/Meet location, or your client portal for built-in video — and the attached calendar invite carries the same link. In-person appointments are unchanged.

Appointment reminder emails now include a calendar invite (.ics attachment) — one tap adds the session to the client's phone or desktop calendar, and a re-sent reminder updates the same event instead of duplicating it. The calendar entry is deliberately minimal ("Appointment" plus the practice name in the details) so nothing clinical shows on lock screens or shared calendars.

Notice of Privacy Practices updated for the 2026 HIPAA changes: new practices now start with an NPP covering the 42 CFR Part 2 substance-use-record protections (plus psychotherapy-notes and complaints sections). Existing practices' notices are never auto-edited — here's what changed and how to update yours.

Shared Good Faith Estimates now show clearly on the client's Files tab: each estimate appears under its own name (like "Good Faith Estimate (GFE-0004)") with its signature status, instead of an unlabeled form entry — so you can see whether a client has signed without opening anything.

Unfinished supervision setup no longer stays silent: Team settings flags a Supervisor with no clinicians assigned (and associate-licensed clinicians with no supervisor), and the Notes to Sign page shows affected clinicians a gentle note that their notes aren't routing for co-signature — with a one-click dismiss if your supervision happens outside Practice Harbor.

Group session fees are easier to get right: set a default per-member fee when scheduling a group session (a client's own account rate still applies automatically), adjust any one member's fee for a specific session from the attendance panel, and see a clear "No rate" warning before anyone would be billed $0.

Group session billing at a glance: the attendance panel now shows a billing summary for the session (how many members are uninvoiced, unpaid, and paid), each member's invoice number with its status, and one-click links to view the invoice or collect payment.

Collect payment right from the group session: clicking Collect on an unpaid member now opens the payment window with that member and their session invoice already selected — card on file, cash, or check — no trip to the Billing tab. Minor clients correctly charge the parent's saved card.

Clearer group session statuses: a group session now shows its status as a simple label with two actions — Close out session (for past sessions: confirms attendance and sets up billing) and Cancel session (keeps it on the calendar marked Cancelled, removes attendees' un-invoiced charges, with a this-one-or-all-future choice for recurring groups). Member attendance offers Show, No Show, Late Cancel, and Cancelled — mark a client who cancelled in advance and they're never billed for the session, while staying visible on the roster. Marking a session held automatically marks everyone you haven't documented as Show — anyone you've marked No Show or Late Cancel stays exactly as you set them.

A roomier group session panel: the group session drawer is wider, each member's attendance and billing fit on one line, and the schedule details tuck into a compact summary (tap Edit to change them) so attendance is front and center.

Same-day group collection: an uninvoiced group member now has "Invoice & collect" right on their row — one click creates their session invoice and opens the payment window. Members enrolled in AutoPay show a badge so you know whose balance will charge automatically overnight.

Bill a group member at any time: once you mark a member Show, "Invoice & collect" is available even before the session is closed out — the same way an individual appointment can be invoiced ahead of its status catching up. The evening close-out skips members you've already billed, and cancelling a session (including "this and all future" for a recurring group) automatically removes any early charges that weren't invoiced yet — anyone already invoiced is flagged so you can handle the invoice deliberately.

Group sessions now bill like individual sessions: members you haven't marked are treated as attended when the session completes each evening — your job is just marking the exceptions (No Show, Late Cancel), same as your calendar habit for individual appointments. Attendance the system assumed shows as "(assumed)" in the panel until you confirm it yourself, and anyone you mark as an exception is never billed for the session.

Closing out a group session now happens where attendance lives: the button is "Confirm attendance & close out", right under the member list — so you review the roster as you close out, and everything you confirm is recorded as your call (no "(assumed)" labels). Sessions closed automatically overnight instead show a single note that attendance was assumed, with a one-click Confirm attendance to sign off on it.

Add Insurance Payment got a same-day fix batch after a practice reported trouble: the payer dropdown now always includes every payer your clients actually have (a long list had silently cut off), the help article walks the exact path with prerequisites, and a clear error explains the one case that blocks saving.

The demographics form asks for sex as shown on the insurance policy where claims need it, and the insurance editor collects it inline when missing — closing a gap that could get dependents' claims rejected.

New Client modal: clearer client types with Group as its own option. A therapy group's type is now fixed after creation (it determines how billing works); couples and families can still switch between those two types.

The Getting Started checklist teaches the real gestures (and the sample session can be hidden or deleted when you're done with it).

Fixed

Online booking requests now reliably reach you: new-client requests from your public booking page show up under the person icon on your calendar (now always visible — a red badge appears when requests are waiting) and also email your practice's contact address the moment they arrive. Previously, requests could go unseen; if you use online booking, check the icon for anything pending.

Booking page tells clients when times fail to load: a temporary connection problem now shows "we couldn't load the available times" instead of looking like a fully booked day.

Treatment plan cards now show a signing badge — Unsigned, Awaiting co-sign, or Signed — so it's obvious which plans still need "Sign and share" (and, for supervised clinicians, which are waiting on the supervisor's counter-signature). The Notes to Sign page now lists your unsigned treatment plans alongside your unsigned notes — one inbox for everything waiting on your signature. Plans a supervisee signs and shares appear in the supervisor's existing "Notes to sign" queue alongside notes.

The portal's "Join Session" button now takes clients to the right video platform: if your telehealth location has a video link saved (Doxy.me, Zoom, Google Meet…), clients land there — previously the button always opened the built-in video room even when your sessions happen elsewhere. Practices using the built-in telehealth are unaffected.

Evening payments no longer vanish from the billing dashboard until the next day.

Card refunds issued from the billing tab now route through the real card refund and reflect correctly on the invoice.

After refunding a card payment, the invoice can be collected again — it now reappears in Add Payment with its restored balance.

Refunds now show in Card Transactions (and its CSV export) alongside charges, so the list reconciles with your payouts.

Superbills, hours tracking, and analytics date ranges no longer drop sessions on the last day of the range.

Dispute and payout activity now flows into the Billing Dashboard as it happens — the Disputes tab shows the deadline countdown and evidence actions.

Collecting payment from an appointment's details now works for minor clients whose card is saved on the parent — the charge correctly uses the parent's payment profile (it already worked from the client's Billing tab).

A demographics-form Edit button that clipped its label, and a two-line radio row in the New Client modal.

In video sessions, turning a camera off now shows a "Camera off" tile with the participant's name — previously the last video frame could stay frozen on screen.

Removed the "Remove from unbilled" action on the insurance Unbilled list — it permanently hid sessions from Add Insurance Payment with no way back. Sessions hidden by it reappear automatically. To take a session off the list, use Download CMS-1500 (filing externally), Mark as Self-Pay (including $0 courtesy sessions), or mark the appointment No-Show.

Collecting payment from the appointment details now works for clients whose card is on a parent or guardian's profile.

Refunds now subtract correctly on client statements and in the account's Transactions view — previously a refund could show as more money received instead of money returned.

Service modifiers set when scheduling a group session (like 95 for telehealth) now carry through to every member's charge and claim — previously they were dropped for group sessions while individual sessions kept them.

Write group notes right after session: opening the group note on a session you haven't closed out yet now opens a quick "Confirm attendance" list (everyone preset to Show — flip the exceptions). Confirming marks the session held, sets up billing, and drops you straight into the notes. Sessions the system closed automatically with assumed attendance get the same quick review, so documented sessions always carry attendance you confirmed — and anyone you correct to No Show has their pending charge removed automatically.

Deleting a paid invoice now tells you the real reason it can't ("refund or delete the payment first") with a direct link to the client's billing page — previously it showed an unhelpful "try again" (and in one spot, a false success). Paying down the chain stays deliberate: payments unwind before invoices, invoices before the session.

Three group-session billing fixes: re-saving a completed group session from the calendar can no longer move one member's charge onto another member; double-clicking Save while marking attendance no longer creates duplicate charges; and deleting a group session now removes every member's pending charge, not just one.

The Analytics income report and the Billing Dashboard's Collected figure now always agree — disputed charges no longer skew the income report, and chargebacks no longer appear as payment rows in Billing Activity (they live in the Disputes tab).

The Clinical Hours report now counts every session — very long histories were previously cut off at 500 rows.

Changing the location of a recurring appointment now saves correctly (for one occurrence or the whole series) — previously the change silently didn't stick. Location changes also now carry through to the session record, so claims file with the right place of service (e.g. after switching a session to telehealth).

After collecting a group member's payment from the session drawer, the member's row now updates right away — the paid badge and invoice number appear without closing and reopening (previously the "Invoice & collect" link lingered even after payment).

Appointment details for a future session now show a simple "Create invoice" link in the Billing section instead of payment buttons and AutoPay messaging — those appear once the session date arrives. (Heads up, unchanged behavior: AutoPay charges any unpaid invoice overnight once it exists, so invoicing a future session early does collect early.)

The session billing history table now labels every row correctly: insurance checks no longer appear as green "Client payment" rows for the whole check amount, and refunds now subtract from the running balance instead of showing as a second payment. Applied credit shows as "Credit applied."

When a card payment is reversed by the client's bank after a dispute, the session's invoice now correctly shows the reversed amount as owed again — previously it could read as fully paid, blocking re-collection.

New

A built-in national payer directory (3,600+ insurance companies): pick payers by name or payer ID when adding coverage — no more manual payer setup for common plans — with enrollment status tracked per payer.

Automatic document reminders: clients with incomplete intake or assigned forms get reminded before appointments (with a per-client switch), and you can send an ad-hoc reminder for any pending document from the Files tab.

Crash recovery for in-progress recordings: if the browser crashes or the tab closes mid-session, the recording survives (encrypted) and offers to resume — and switching microphones mid-session no longer splits the recording.

Portal sign-in QR code: print a poster or card that takes clients straight to your portal.

Claim auto-split: selecting more than six sessions creates correctly split claims automatically (six lines per claim, per calendar year).

Improved

Scored measures and intake forms now share one delivery system — schedule a measure once and every send, score, and reminder flows through the same pipeline, consolidated on the client's Files tab with a visible "Next share" date.

Analytics accuracy pass: date ranges respect your local calendar, refunds and payouts are excluded from income, error states render as errors instead of fake zeros, and no-shows are counted honestly.

Uploaded audio files get the same real transcription-and-note pipeline as live recordings.

Fixed

Booking-widget race conditions that could double-hold a slot, and portal booking requests can now be cancelled by the client.

Intake invitations no longer drop when a returning client re-uses the same email.

Electronic claim filing is live end-to-end: claims submit through our clearinghouse to payers, statuses flow back automatically, and payer remittances (ERAs) post against the right claims — verified with real round trips.

Scored measures (measurement-based care): administer PHQ-9, GAD-7, PCL-5, AUDIT-C, and DASS-21 in session or by scheduled email delivery, with automatic scoring, high-risk flagging, per-measure trend graphs on a new client Measures tab, latest scores surfaced in session prep, and completion reminders. Works for minors (delivered to the right recipient) and per-member for couples and families.

Treatment plan signing: sign-and-lock for independent clinicians, supervisor co-sign with a review queue, and a comments/request-edits loop between supervisee and supervisor.

A unified Notifications inbox gathering notes to sign and treatment plans due for review, with reminder scheduling for plan reviews.

Editable Box 24E diagnosis pointers on draft claims, for billers who need line-level control.

Improved

Diagnosis codes deduplicate per claim and superbill, and couples/family clients route through the same diagnosis workflow as individuals.

Treatment plans version cleanly: loading a previous plan creates a new version instead of overwriting, and superseded versions are labeled as such.

Fixed

Credit invoices no longer count toward the "Unpaid invoices" balance.

Forms downloaded as PDFs render line breaks and special characters correctly.

A parity week: client credit, coinsurance, and note dates now behave the way experienced billers expect.

Improved

Client credit and unallocated payments follow the standard industry model: advance payments and overpayments pool as credit, credit is never auto-applied without AutoPay enrollment, and the billing dashboard's Client balance and Unallocated rows expand to show exactly which clients and payments they contain.

Coinsurance support: client responsibility can be a copay or a coinsurance amount, capped sensibly on $0 sessions, with the client-vs-insurance split shown on the client's billing sidebar.

Income reports headline net income (gross − refunds − card fees) and bucket payments by the date received.

Notes are dated by session, not by edit: the notes list, "Notes to Sign," and note cards all show the session date, and editing or signing a note no longer advances its date. You can also set the session date when dictating a note after the fact.

Deleting an appointment is now a safe, reversible archive that also removes the matching Google Calendar event.

Fixed

Signing a note could fail with a cryptic error when another device had touched the record — signing now retries safely.

Sessions that already have a note show View Note instead of offering to record a duplicate.

Disconnecting Google Calendar no longer leaves a half-synced state if the connection times out mid-cleanup.

For practices that file some claims outside the platform, this was your week.

New

External filing (CMS-1500): download any claim as a filled CMS-1500 PDF and mark it Filed externally — it leaves your Unbilled list and stays tracked on the client's record, per claim, with no practice-wide mode to flip. Mix electronic and external filing freely, payer by payer.

Per-line Place of Service on claims — mixed office/telehealth batches now bill each session under its own location code.

Improved

Billing type (self-pay vs. insurance) became one consistent, stored fact about each session instead of being re-guessed by every screen. Past sessions no longer flip retroactively when a client's billing setup changes, and the appointment editor shows the true insurance/client-owes split instead of assuming self-pay.

Copays now bill the client-responsibility amount on invoices, with a single primary coverage enforced (no more ambiguity about which policy is primary).

Insurance sessions appear in billing as soon as the session time passes — no overnight wait.

Practice Tax ID and billing address flow to claims from one place in Settings, with validation.

Fixed

Editing a session's billing line opened with the wrong type preselected, and switching a line from insurance to self-pay didn't stick — both corrected.

Deleting an invoice could orphan related records; paid sessions past the first hundred invoices showed "No Invoice" incorrectly.

Telehealth session links are now bound to the invited participant — hardening against link misuse.

New

Superbills and statements are now stored documents with sequential numbers (SB #0671, STMT #0487) — regenerate-proof, listed on the client profile alongside invoices, and openable as PDFs anytime.

Income allocation report: see income attributed per clinician, split by client payments vs. insurance payments — including payer-by-payer totals.

Note preferences: a "Remove names" writing-style option asks the AI to de-identify names in drafted notes.

Improved

The Notes page was redesigned: status filter chips, client search, sorting, and clear "waiting for signature" flags.

Sessions on a superbill are locked against accidental edits, matching how billing documents are expected to behave.

Note titles now reflect the session type automatically.

NPI fields validate their check digit at entry, so a typo can't reach a claim.

Fixed

ERA (payer remittance) parsing handled a payer format that previously dropped per-line adjudication detail.

Invoice numbering is self-healing and no longer capped — no more duplicate or skipped numbers on busy practices.

Insurance-linked payments in reports now resolve the client's name correctly.

Group session documentation, explicit note saving, and a deep insurance-accuracy pass.

New

Family and group session support in notes: appointments for couples and families now capture per-session attendance, notes show who was present, and note templates can expand designated sections per participant.

Hide client names on the calendar — a one-click initials-only mode for shared screens and waiting-room monitors.

"Select all that apply" questions in intake questionnaires.

Add Insurance Payment works from the appointment itself: recording a paper EOB against sessions that never had a claim in the system now auto-creates the claim record for you.

Improved

Note editing is now explicit-save across every note editor: nothing is committed until you press Save, edits are protected against navigation, and a same-time save by a supervisor can no longer overwrite your text.

Place of Service on claims and superbills is derived from the appointment's location (telehealth vs. office) instead of defaulting to Office.

Appointment reminders now send reliably on an hourly schedule — a scheduling gap had been silently skipping some.

Fixed

A month-long accuracy pass on the insurance area: statement balances no longer miscompute on busy practices, the payer dropdown loads completely, write-offs can't exceed the billed amount, decimal amounts entry works in all payment fields, and a dozen similar correctness issues.
